Description:
Assistant to the Production and Post Production Executives to, but not limited to, multiplatform, alternative, and movie production department for Channels Worldwide. Assist and support with the flow of high volume information and material in and out of the department, coordinate meetings, keeping of calendars, answer phones, and prepares and tracks production company paperwork, charts, and schedules. Stays current on production status and industry updates.
  • Establish and maintain effective administration systems.
  • Answer telephones and ensure messages are delivered in a timely manner.
  • Maintain and coordinate executive's calendars. Schedule meetings and reserve conference rooms.
  • Prepare expense reports, familiarizing self with internal SAP system, track and copy all payments, and reconcile all credit card bills.
  • Create and maintain accurate distribution lists for production paperwork including schedules, scripts, staff and crew lists.
  • Support post-production with distribution of materials, note tracking and delivery schedule updates and distribution
  • Maintain and update a network show assignment grid.
  • Keep accurate records to track distribution of production paperwork, project deliveries and routings, email (archiving), SAP orders, etc.
  • Maintain and distribute Network and Production Company Handbook.
  • Develop familiarity with all projects in development and production, including project schedules and names of all people involved, both internal and external.
  • Work with show production coordinators, programming assistants and production companies to ensure accuracy and timely updates for meetings, deadlines, schedules, etc.
  • Prepare, track, and submit select Guild, Union, or other Production related paperwork. Must develop an understanding of Network and guild/union reporting requirements and common errors, and be able to guide the productions accordingly.
  • Data entry and maintenance of shared drive database, guiding production companies in proper use and timely updates.
  • Organize office filing, create folders, binders and filing system for executives. Maintain files or binders for each production, and assist in maintenance of paperless inventory system.
  • Responsible for training productions in use of web-based server (Scenechronize), as well as maintaining updated distribution lists within Scenechronize and addressing any technical issues.
  • Work with coordinators to track and maintain production asset inventory, as needed.
  • Order office supplies and prepare staff travel arrangements for department executives.
  • Weekly attendance at staff and development meetings as requested.
  • Maintain, renew, and circulate all trades, newspaper, and magazine subscriptions.
  • Provide backup to other assistants and department members. This may include, but not limited to, phone coverage, assist or complete tasks assigned by the SVP, Production or lead executive assistant, share responsibilities for floor duties with other assistants, such as restocking kitchen, setting up for meetings, etc.
  • Adheres to all Company policies and guidelines, including but not limited to all Financial and Audit requirements (competitive bidding, conflicts of interest, I9 and Immigration, etc.) Harassment, Confidentiality, Standards of Business Conduct, Minor Employment and Saftey.
  • Take responsibility for his/her continuous learning and professional development.
Basic Qualifications:
  • Proficiency in Microsoft Office programs and PowerPoint.
  • Adept at setting up Video-conferencing, video chats.
  • Solid understanding of various file formats (document and video) and the capability to convert files to the desired format.
  • Understand operation of the Internet, reference materials, libraries, and the studio system database as research sources.
  • Some knowledge of database/archiving/inventory programs preferred.
  • Strong written and verbal skills, excellent organizational and time-management skills.
  • Direct and purposeful in all verbal and non-verbal communication.
  • Receptive to and approachable by others in any situation.
  • Ability to prioritize and handle multiple projects at once.
  • Self-motivated, takes initiative.
  • Highly organized and detail oriented.
  • Exhibits versatility/flexibility.
  • Proactive problem-solver.
Required Education:
Bachelor's degree-related discipline, or equivalent exp
